Customer Inquiries
Entry point: left menu → Workbench → Customer Inquiries
Since June 2026, the menu item "Inquiries" has been renamed "Customer Inquiries"—everything customers come to ask prices about is gathered here, making it clearer to distinguish from "Quotations," which quote on samples in your own library. The entry location and the three sub-items are unchanged.
Customer Inquiry vs. Quotation
- Quotation: quote on samples in your own library (generated from the Sample Basket); see Quotations, Sample Dispatch Orders, and Selection Orders
- Customer inquiry: a customer brings something external (their own sample, an online image, a garment from elsewhere) and asks "Can you make it, and how much?"—it has no connection to the samples in your system; register and follow up on it here
Customer inquiries are divided into three types by source:
| Type | Source |
|---|---|
| Sample/image inquiry | A customer brings their own sample / an image / a garment from elsewhere to ask for a quote; registered manually |
| Showroom inquiry | An inquiry initiated by a customer in your web showroom |
| Share inquiry | An inquiry initiated by a customer in a sample collection you shared |
Sample/Image Inquiry
When a customer brings a sample or image that isn't in your system to ask for a quote, register and follow up on it here.
Create: click "New Sample Inquiry", then register the customer, inquiry image, description, expected quantity, and so on. The form also supports:
- Multiple suppliers: one inquiry can be linked to several suppliers, so you can compare prices or run sampling with more than one
- Internal images: the customer's sample images are registered as usual; "internal images" are visible only inside your company and are never shown to the customer—useful for process-analysis or fabric-matching photos
- Quote spec details: in the quote/follow-up area you can record the style number, composition, weight, width, and factory, so the specs you settle on are captured right on the inquiry; there are also fields for quote remarks and other remarks
The list shows: order number / customer / channel / inquiry image / description / expected quantity / quote / status / owner / inquiry date. You can filter by order number / customer / phone / description, status, and channel. For inquiries with internal images, the inquiry-image column shows a thumbnail with an "internal" lock badge.
Follow-up conversion:
- Convert to quotation: generates a printable quotation page from the inquiry details (opens in a new tab; you can fill in anything missing on the spot and then print)
- Convert to sales order: with Production Order Management enabled, one click converts the inquiry into a sales order, pre-filling the customer / quantity / quote / description; after conversion the inquiry status changes to 「已转单」 (converted)
When following up, fill in the quote and update the status, advancing an external requirement step by step into an order.
Showroom Inquiry / Share Inquiry
- Showroom inquiry: an inquiry submitted when a customer browses your web showroom, automatically collected here
- Share inquiry: an inquiry submitted after a customer opens a sample collection you shared
These two types are initiated by the customer; salespeople pick them up, quote, and follow up in the corresponding lists.
Convert (to quotation / sample dispatch order): when the customer ticked specific samples in their inquiry, a "Convert" dropdown appears in the Actions column of the list, letting you create a quotation or a sample dispatch order in one click:
- The samples the customer selected are carried into the document lines automatically (number / name / composition / width / weight and so on come from the sample; you fill in the price)
- The customer's name / phone / company name are written into the order-level remarks automatically (formatted like 「客户询价:张三 138xxxxxxxx 某某服饰」, i.e. "customer inquiry: name, phone, company"), so you can select or create the proper customer record from it when finalizing the document
- If the samples in the inquiry have since been deleted, the system shows 「该询价没有可转的样品」 (this inquiry has no samples available to convert)
Pure-message inquiries with no samples selected do not show "Convert".
