What We'll Cover Today
This outline is the content checklist for today's training, so everyone knows in advance what will be covered. This session only covers the Sample Workbench — sample management; quotations / sample dispatch / selection; the web showroom; the buyer portal; and how to use all three ends: PC + mobile App + WeChat Mini Program. Inventory & sales, sales orders, and finance are not included this time.
After This Training You Will Be Able To
- Log in on any of the PC / App / Mini Program ends — all three share the same data, synced in real time
- Enter a sample on your own (three methods: manual entry, AI recognition, bulk import)
- Understand a sample's categories, tags, and image visibility scope
- Produce a quotation / sample dispatch order / selection order for a customer
- Understand how the showroom / buyer portal sends samples to customers to view
- Use the App while out and about, and have customers use the Mini Program in WeChat
Module 0 · Opening
- We're in the fabric trading business, and our most valuable assets are a wall of sample cards and a base of customer relationships
- Common pain points: can't find a sample, sent a sample but don't know who got it, can't recall what price was quoted to a customer
- Jenny Fabric Software brings samples + customers + quotations together into one system, usable on the computer, on the phone, and in the customer's WeChat
- Today we'll walk everyone through the core workflow of the Sample Workbench
Module 1 · Getting to Know the Three Ends + Logging In
1.1 Three Ends, One Set of Data

The key takeaway: all three ends log in with the same account, and data syncs in real time — a sample entered on the computer shows up on the phone immediately.
1.2 Login Methods
- PC: www.jenny.cn → log in via the top-right corner
- App: search "Jenny Fabric Software" in your app store
- Mini Program: search "Jenny Software" in WeChat
Login supports: phone number + password / phone number + SMS verification code / one-tap WeChat login / App QR code login.
1.3 Companies and Switching
- After logging in you enter a "company"; all data is isolated by company
- One account can be linked to multiple companies — tap the company name in the top bar to switch
Module 2 · Sample Management (Core Focus)
2.1 What the Sample Library Looks Like
- Left menu → Sample Library
- Two views, grid / list; each sample is a card: image + code + name + composition / width / weight (gsm)
- Top search + advanced filters + category tree
2.2 Several Ways to Enter Samples

When you have many samples, migrate existing data via bulk import and have AI recognize photos of new arrivals — no need to type each one in. Bulk Sample Image Recognition is great for getting a pile of sample cards into the system all at once; it's a recently launched new feature, and detailed steps are in Bulk Sample Image Recognition.
2.3 Categories and the Tag Cloud
- Three-level categories: build a category tree by major fabric class (all-cotton / synthetic / blended…)
- Tag cloud: freely apply tags (style, customer, use); one sample can have multiple tags
- Categories are a "tree," tags are "labels" — both can be used for filtering
2.4 Sample Image Visibility Scope
Each sample image has three visibility levels:

Set images you want to show customers to "Public"; set factory base images you don't want customers to see to "Internal" or "Private."
2.5 Sample Stock / Sample Basket
- Sample Stock: how many meters / cards of each sample remain right now, and where they're stored
- Sample Basket: while viewing goods, drop the samples you like into the basket like a shopping cart, then quote / select them together at the end
2.6 Image Search
- A customer sends a fabric photo / you have a piece of fabric in hand → take a photo and upload → the system automatically finds the most similar samples in your library
- A newly uploaded sample image can generally be found within half an hour (no more than 6 hours)
2.7 Printing Sample Labels
- Select a sample → "Print Label"
- You'll need to connect a Bluetooth thermal label printer first (look for a 300 DPI model — low-DPI printers produce blurry output)
- Labels carry a QR code so customers can scan straight to the sample details
Module 3 · Quotation / Sample Dispatch Order / Selection Order
Trading companies create documents for customers every day, and these three types must be kept distinct:

- All three documents support multilingual templates (Chinese-English, etc.) so export customers can read them
- Quotations / sample dispatch orders can be generated directly from the Sample Basket
- Samples customers select in the buyer portal flow back to "Customer Selection Orders" for the sales rep to follow up
Module 4 · Showroom + Buyer Portal
4.1 Web Showroom
- Generate a corporate web showroom with one tap: product display + brand introduction + contact information
- 18 templates to choose from, 13 languages, and a custom subdomain can be bound
- Samples set to "Public" sync to the showroom automatically — no need to re-enter
4.2 Buyer Portal / Mini Program Showroom
- Send the showroom link / QR code to customers; they scan to browse, do image searches, add to the selection cart, and send inquiries
- Samples customers select automatically enter "Customer Selection Orders," and the sales rep is notified in real time
The showroom is the company's outward-facing front — the samples you enter (those set to Public) are what customers can see on the outside.
Module 5 · App Walkthrough
For field sales reps, the focus is what you can do while out and about:
- Download: search "Jenny Fabric Software" in your app store
- What the App can do:
- View samples, search samples, image search
- Photograph a hang tag / label → AI recognition → create a sample directly
- Create quotations / sample dispatch orders on-site with customers
- Add to the Sample Basket, send selections
- Share samples / documents with customers (generate a QR code / forward via WeChat)
- Real-time data sync with the PC — samples entered on the PC can be viewed and edited on the App
Module 6 · WeChat Mini Program Walkthrough
The Mini Program has two uses:
6.1 For Employees' Own Use
- Search the "Jenny Software" Mini Program in WeChat → one-tap WeChat login
- Quickly check samples, check customers, and view quotation / sample dispatch records without installing the App
6.2 For Customers' Use (More Important)
- Send the Mini Program showroom to the customer's WeChat
- In the Mini Program, the customer: browses samples → image search → adds to the selection cart → submits selections / sends inquiries
- The selections / inquiries the customer submits flow back to the company system automatically for the sales rep to follow up
The Mini Program's greatest value is letting customers view goods and select samples right inside their own WeChat, so the sales rep doesn't have to send images one by one.
Module 7 · Collaboration and Permissions
- Invite / create employees: the owner sets up an account for each employee
- Role permissions: different roles see different menus and data (a sales rep sees only their own customers; the owner sees everything)
- Multi-user collaboration: task assignment, cloud drive file sharing
Not seeing a particular menu is normal — it's based on your permissions; just ask an administrator to enable it.
Module 8 · Hands-On Practice
At the end of the training, each employee runs through this on a device on the spot:
- ☑ Log in to the PC (or App) with your own phone number
- ☑ Enter a sample (manually or by photographing a label for AI recognition)
- ☑ Categorize the sample, tag it, and set its image visibility scope
- ☑ Add the sample to the Sample Basket and generate a quotation
- ☑ Find the sample you just entered on the App / Mini Program
- ☑ Share a sample to your own WeChat
Once you've completed this run-through, you've basically got the hang of it.
